Job Summary: We are seeking a Talent Acquisition Coordinator. Efficiently and effectively complete all Talent Acquisition operational processes for new hires and internal moves. Managing end-to-end personnel files for all hires, maintaining an MIS of the same, timely updating the tracker, and creating various cuts to keep numbers/data ready at all times.

Key Responsibilities

• Working closely with the Resourcing Coordinators by sharing MIS-driven cuts to ensure completion of screening requirements through independent verifications.
• Ensure all documents are complete in the personnel file (P-File) as per the end-to-end hiring process, and validate them using the checklist prior to scanning the P-File.
• Responsible for efficiently and effectively completing all talent acquisition administration processes for new hires and internal moves, database management and system updating, interview scheduling, offer letter and contract creation, performing activities on my recruiting based on Process Operational Instructions (POI), processing interview expenses and vendor invoices, and pre-employment verification check coordination with external vendors.
• Support (Senior) Talent Acquisition Managers / Specialists in updating Job requisitions (JRs).
• Provide assessment/selection administrative support, as required, e.g. candidate set up, pulling candidate profiles, sending assessments, documentation collection, etc
• Scan and enter all hardcopy applications and letters into PeopleSoft, ready for review by (Senior) Talent Acquisition Managers / Specialists, issuing data protection statements to applicants
• Print and compile documentation (e.g. CVs) for Talent Acquisition Managers / Specialists, as required
• Schedule interviews and assessments, coordinating candidate, hiring manager, (Senior) Talent Acquisition Manager/Specialist diaries, booking rooms and facilities (e.g. video conferencing) as required
• Support relevant Talent Acquisition Managers/Specialists in organising assessment days and booking careers fairs, as required
• Sending assessments to candidates on the system
• Where required, liaise with relevant stakeholders to ensure that candidate expense claims are processed promptly.
• Produce and issue hiring forms (EHFs); offer letters, contracts and packs promptly, ensuring all contract administration is completed promptly, accurately and efficiently and is signed off as required
• Track completion of all talent acquisition administration against deadlines, e.g. contract return dates, joining letter issue dates, following up wherever required to ensure all administration is completed properly, promptly
• Support (Senior) Talent Acquisition Managers / Specialists in completing administration for international talent moves, as required.
• Obtain the list of P-Files from the resourcing coordinators and work around a plan for P-File Scanning
• Efficiently scan the assigned number of P-files daily within the turnaround time (TAT)
• Update the P-File tracker daily
• Support relevant Resourcing Coordinators in ensuring completion of pending verifications and update the P-File tracker on a daily basis as soon as verifications are received from different organisations.
